AP Exam Setup

Complete the steps below for each exam administration. Start when you get an email telling you that your roster is available in Test Day Toolkit. 

Instructions

  1. Sign in to Test Day Toolkit with your College Board account.

    • Click the link in the access email we send you and follow the onscreen instructions.
  2. Add returning staff to an upcoming administration.

    • Navigate to the Staff page.
    • Click Select Returning Staff from the Add Staff dropdown menu.
    • Check the boxes next to staff names.
    • Click Add Selected Staff.

  3. Update contact details for returning staff if necessary.

    • Find a staff name on the Staff page.
    • Select Edit Staff in the Actions column.
    • Enter changes and click Update Staff.
  4. Add new staff to Test Day Toolkit.

    • Important: Do this as soon as possible so there’s time to resolve any staff access issues before exam day.
    • Navigate to the Staff page.
    • Choose an option from the Add Staff dropdown menu. Get help choosing.
    • To add new staff in bulk, click Upload file and follow the instructions for downloading the template, completing it, and uploading it.
    • To enter staff names and contact details directly in to Test Day Toolkit, click Add to table and complete a row for each new staff member.
    • We’ll send access emails to new staff and use the contact details you provide for 2-step verification so make sure their email and phone number are current.
    • As part of 2-step verification, we send staff a code that expires after 3 minutes. Mobile numbers make first-time access easier. Note: International phone numbers can receive a voice message but not a text.
    • Encourage proctors to sign in to Test Day Toolkit early and preview their test day experience.
  5. Add rooms.

    • Navigate to All Rooms.
    • To use rooms from another administration, select Reuse rooms from the Add Rooms dropdown menu, choose an administration, and click Save.
    • To add new rooms, select Create new rooms from the Add Rooms dropdown menu and use the table to name each room and give it a seating capacity.
    • If you intend to print a room directory, remember to use room names that help students locate their room. To protect student privacy, don’t use names that refer to accommodations.  
  6. Review your student roster.

    • Navigate to the All Students page to view your roster.
    • Your Test Day Toolkit roster will list only students with an exam order.
    • Use AP Registration and Ordering to order more exams if needed or correct accommodations and personal information.
  7. Optional: Create room assignments for students with small-group or one-to-one testing accommodations.

    • On the All Students page, use the keyword search or filter to find students with those accommodations.
    • Assign students approved for small-group testing to rooms with 15 seats or less.
    • Assign each student approved for one-to-one testing to their own room.
  8. Optional: Assign remaining students to rooms.

    • Navigate to the All Students page.
    • If you performed step 7, start by filtering your roster on the All Students page to list only students without room assignments.
    • Use the checkboxes next to student names and the action dropdown menu to move groups of students to the same room.

  9. Assign staff to roles and rooms.

    • Assign 1 proctor to each room.
    • Only 1 proctor can be assigned to a room, but anyone with access to the administration can use Test Day Toolkit to complete proctor activities in any room.
    • Assign 1 or more technology monitors.
    • Don’t assign technology monitors to a room.
    • Optional: Give a colleague the coordinator role so they can help you manage staff and rooms. Learn more about secondary coordinators.
