Student Room Assignments
When you assign students to rooms, consider these tips:
- For AP Exams, SAT School Day, and PSAT assessments you don’t have to use Test Day Toolkit to assign students to rooms before test day, but the benefits may make it worthwhile.
- If you’re concerned about network bandwidth or you’re testing more than 500 students in a single physical room, assign each area its own Test Day Toolkit room.
Decide if You Should Assign Students to Rooms Before Test Day
Assigning students to rooms in Test Day Toolkit before test day is optional for all tests except SAT Weekend. For AP Exams, SAT School Day, and PSAT assessments, unassigned students are assigned to a room when they enter the room code into Bluebook on test day.
AP Exams
If you assign students to rooms before exam day, you can print a room directory so students can find their own room.
To assign students to rooms by accommodation:
- Go to the All Students page.
- Use the filter or keyword search to show only students with a particular accommodation.
- Select all listed students by checking the box at the top of the first column.
- Use the action dropdown menu to move students to the same room.
- Click Move students to rooms.
SAT School Day and PSAT Assessments
If you assign students to rooms before test day, you can take advantage of these features:
- Printing a room directory so students can find their own room
- Printing sign-in tickets sorted by room with a coversheet for each proctor
However, if you preassign students to rooms, you can’t seat students together if they’re in different accommodated testing groups.
Here’s how to move students to rooms in bulk:
- Go to the All Students page.
- Click Columns to add the grade level and exam setup status columns to your roster.
- Filter, search, or sort your roster to view only students who meet your criteria. For instance, filter or search by accommodation or filter by grade level. You can also sort the exam setup column to identify students who haven’t completed exam setup.
- Check boxes next to student names or select all students currently listed by checking the box at the top of the first column.
- Click Move students to rooms.
Optimize Large Rooms
If you’re concerned about network bandwidth or you’re testing more than 500 students in a single physical room, create multiple virtual rooms in Test Day Toolkit.
Benefits
- Every virtual room has its own roster and codes, making it easier for proctors and monitors in the same room to manage different groups of students, which in turn makes it easier to avoid spikes in network demand.
- Test Day Toolkit performs best when room rosters are capped at 500 students. Larger rosters can cause Test Day Toolkit to lag, delaying room check-in.
How It Works
Typically, Wi-Fi passwords are provided to students as soon as they get to their testing room, allowing them to sign in to Bluebook and start testing as soon as possible. But if too many students in the same space try to connect at the same time, your network could slow down.
To avoid network delays, follow these instructions:
- Divide the physical room into smaller areas.
- Create a Test Day Toolkit room for each area.
- Assign students and a proctor or monitor to each.
- Tell proctors to provide internet information to each group at a slightly different time.
FAQ
How do I assign students to rooms for SAT Weekend?
SAT Weekend test center coordinators should click the Test Day Toolkit Auto-Setup button at the top right of the screen to assign students to rooms by testing group. Auto-setup is available only after you’ve added enough rooms.
To adjust room assignments after running auto-setup:
- Go to All Students.
- Click the checkbox next to a student’s name. To assign multiple students at once, filter your roster by room or testing group and click the checkbox at the top of the roster.
- Choose Move selected students to a room from the Action drop-down menu and click Go.
- On the next screen, choose a room. The toolkit limits your options to rooms with the correct testing group and enough empty seats.
